Operational pressure

You know the work.
We know the admin.

The best software does not add another dashboard to check. It removes the fragile handoffs that slow your team down.

The details are different for every activity. Explore the everyday challenges behind the admin.

01

Materials and supply management

Every class needs different supplies: paints, clay, canvases, fabrics.Explore the challenge

Tracking stock, building material costs into prices and making sure supplies arrive on time is a constant overhead. Kiln firing is a significant hidden cost, from electricity for each firing to element replacements and the need to batch fire rather than run half-empty kilns. Specialist materials such as metal leaf, resin or professional-grade oils need pricing in before students book, not after. Bulk buying saves money per kilogram of clay but ties up cash and storage for months. Supplies run short at predictable times of year, and waste disposal for solvents, kiln wash and contaminated water adds a cost many art schools only notice at year-end.

02

Mixed-format scheduling

You offer weekly term-time classes, one-off workshops, holiday courses, birthday parties and adult evening sessions, each with different pricing, capacity and set-up.Explore the challenge

Pottery brings drying time between sessions that cannot simply be filled with another class, and work in progress takes up shelf space that limits how much you can run. Wet rooms for clay and plaster need different extraction and drainage from dry rooms for drawing and printmaking, and cross-contamination can ruin equipment and work. Exhibitions block studio space for days or weeks, displacing regular classes, and giving a visiting artist dedicated studio time alongside your class programme needs careful calendar management.

03

Portfolio and progress visibility

Parents want to see what their child is creating and learning.Explore the challenge

Without a system, artwork goes home in a bag and the learning journey is invisible. Arts Award at each level asks for structured evidence of research, creation and reflection, which is a significant undertaking for every participating student. Exhibition submissions need good photographs, and three-dimensional work such as sculpture and ceramics needs several angles to be shown fairly. Consent for sharing images must be handled carefully, particularly for children, where parental consent is needed before anything is displayed publicly or shared online. Poor photographs undermine the work and frustrate students who have invested hours in a piece.

04

Age-range and skill-level grouping

Messy play for toddlers and watercolour technique for adults need completely different spaces, staffing and risk assessments, and managing both under one roof adds complexity.Explore the challenge

Younger children need more adults per child, which affects staffing costs and capacity. Sharp tools need age-appropriate policies and risk assessments, and kiln rooms need strict rules about who can enter and who loads and unloads. Adult evening classes can bring licensing questions if you serve alcohol at social art events, adding regulatory work to a creative business.

More about AMES for art

From children's after-school art clubs and Saturday pottery classes to adult life drawing and mixed-media summer workshops, AMES keeps every format of creative class on one timetable. Whether you run a single studio or several locations, bookings, payments, registers and each student's progress share one record.

Getting started

We help untangle the admin. You keep running classes.

Migration, configuration and launch support come as standard — with real people who know how activity businesses actually run. No consultant fees. No being left to work it out alone.

01
Step 01

We migrate your data

Spreadsheets or an export from another platform: send what you have and our team imports your classes, members and balances, so you do not rebuild from scratch.

02
Step 02

We configure it with you

A real person sets up payments, registers, staff access and your parent portal alongside you, so the disconnected pieces become one connected system.

03
Step 03

We stay with you after launch

Launch-week check-ins, answers when parents ask something new, and a human on the other end of a message when you need help. AMES should make the operation calmer, not give you another system to manage.

Security & Compliance

Built to protect, designed to be transparent.

Activity businesses handle sensitive member data, payment details, and children's records. AMES treats that responsibility as a product feature — not a checkbox.

Enterprise-grade security

Your data is protected by design

AMES is built on Supabase with row-level security policies, encrypted-at-rest storage, and role-based access control. Every tenant's data is logically isolated so one operator never sees another's information.

PCI DSS compliant payments

Payments handled by Stripe, not spreadsheets

AMES Pay runs on Stripe Connect — meaning card data never touches our servers. Parents pay through Stripe's hosted checkout with full PCI DSS compliance, tokenisation, and 3D Secure authentication.

GDPR-ready data practices

Transparent data handling, full user control

Parents and operators can export their data at any time as CSV. Data retention policies are configurable, and account deletion is a single action with full data purging guaranteed within 30 days.

Managed cloud infrastructure

Built for the hours your business runs

AMES runs on Vercel's global edge network with automatic scaling, and keeps its data on Supabase's managed database platform.

Zero data lock-in

Leave whenever you want, with everything

Export every booking, payment, member record, and progression entry as structured CSV files. We believe great software earns retention — it should never rely on data hostage-taking.

Audit trail & compliance

Every action logged, nothing hidden

Staff actions like booking changes, payment adjustments, and policy modifications are captured in an audit log. Managers can trace who changed what, when, and why — essential for growing teams.
