The process of scheduling classes across venues, time slots, and instructors to maximise occupancy while meeting customer demand.

Timetable management is the process of designing and maintaining your class schedule to balance customer demand, venue availability, staff capacity, and commercial viability. A well-optimised timetable maximises revenue by placing the right classes in the right time slots at the right venues, while a poorly designed timetable results in half-empty classes, overworked staff, and frustrated families.

The foundation of effective timetable management is data. Analyse which time slots are most in demand (Saturday mornings and weekday after-school slots are typically peak for children's activities), which age groups have the longest waiting lists, which venues have spare capacity, and which instructors are available when. Build your timetable around demand peaks first, then fill quieter slots with classes that are less time-sensitive or that you are trying to grow.

Common timetable challenges include: balancing classes across the week to avoid over-reliance on weekends, accommodating staff availability changes, managing venue bookings that may shift each term, avoiding gaps between classes that waste venue hire time, and creating a schedule that allows families to attend multiple classes conveniently. Review your timetable at least termly, using occupancy and waiting list data to guide adjustments.
