What is Single Central Record?

A register that records the recruitment and vetting checks carried out on all staff, including DBS checks, qualifications, and right to work status.

In Detail

A Single Central Record (SCR) is a document — usually a spreadsheet or database — that records the essential vetting and recruitment information for every person who works with or has access to children in your organisation. While SCRs are a statutory requirement for schools and Ofsted-registered childcare settings, maintaining one is considered best practice for all children's activity providers and is increasingly expected by insurers and governing bodies.

Your SCR should include for each staff member and volunteer: full name and any known aliases, date of birth, address, DBS check date and certificate number, DBS check level and barred list check status, qualifications (with verification dates), first aid certification and expiry date, safeguarding training date and level, right to work check date and document type, start date and role, and any governing body membership or licence numbers.

The SCR must be kept up to date in real time — it should be updated the day a new check is completed or a qualification expires. In the event of a safeguarding concern, regulatory inspection, or insurance claim, a well-maintained SCR demonstrates that you have robust safer recruitment practices.
