What is Photography Policy?

A photography policy sets out the rules for capturing, storing, and using images and videos of children in your care. This is a safeguarding and data protection issue that requires careful management. Your policy should cover images taken by staff (for marketing, progress tracking, or social media), images taken by parents or spectators, and images taken by any third parties such as local press.

Key elements of a photography policy include: obtaining specific, informed consent from parents before photographing their child; never publishing a child's name alongside their image in a way that could identify them to strangers; storing images securely and deleting them when no longer needed; ensuring staff only use work devices (not personal phones) to photograph children; having clear rules about spectator photography — particularly in settings such as swimming where children may be in swimwear; and respecting any court orders or social services instructions that prohibit photography of specific children.

Social media use requires particular care. Even with consent, consider whether images could be screenshot and misused, whether they show children in vulnerable positions, and whether location data is embedded in the file. A robust photography policy protects children, demonstrates your professionalism, and reassures parents that you take safeguarding seriously.
